Here’s something I guarantee YOU need to do—but never set the time.
This Friday, block out 2:00-3:00 p.m. to clean up your computer. Make it part of “casual Friday”. This Friday, all employees spend one hour doing the following:
Clean up your email—delete unnecessary stuff, archive important stuff, save attachments into folders and delete the email (saves server space)
Clean out your SENT folder. This is where things really build up.
Empty the Deleted Items Folder
Set up a couple folders for current “works in progress” or some other high volume category.
Then, clean up old files on your computer—go through “My Documents” and get rid of no longer needed files. Organize the important stuff into folders.  Generally clean house.
Lastly, backup the few files you could not live without.
Make casual Friday a productive day instead of a “half-day”.  People will appreciate the time being allocated to this important activity. I’d recommend scheduling this once per month. After the first time, a half an hour is probably enough time.
